Data we process

Participant identification and contact data (first name, surname, date of birth, identity document, email and, if provided, phone, origin, dōjō and grade), chosen sessions and dinner, guest data limited to their number, invoicing and payment data.

Purposes, including date of birth and identity document

To handle the registration request and everything related to participation in the activities organised by the entity: managing the registration, sessions, dinner, invoicing, payments and seminar communications. Date of birth and identity document are part of the registration data; no copies of the document are requested.

Legal basis

The express consent given by ticking the corresponding box in the form. Consent to the use of your image is separate and required to register, because photographs are taken during the seminar.

Recipients and processors

Data is stored in Google Cloud (Firestore) and in a private Google Sheets spreadsheet owned by the organisers, and emails are sent through Gmail. Card payments are processed by Stripe. Data is not shared for other purposes.

Retention periods

Registration data is kept while the seminar is being organised and, afterwards, for the legal periods: billing and payment data for six years (article 30 of the Spanish Commercial Code), and the data needed to deal with possible claims until they become time-barred. Photographs and videos are kept until you withdraw your consent. After those periods, the data is deleted.

Your rights

You can exercise your rights of access, rectification, restriction, portability, objection and erasure by emailing dojofeilen@gmail.com. You may also lodge a complaint with the Spanish Data Protection Agency (www.aepd.es). More information in the privacy policy at www.aikifeilen.org.

Use of your image

With the authorisation you give in the form, which is required to register, your image may be used on the website, printed media (magazine, information brochures, posters) and social networks (Instagram, Twitter, Facebook, YouTube), with the sole purpose of promoting, advertising and supporting the entity’s services and activities. It is never disclosed to third parties, except where required by law, and the authorisation is free of charge. You can withdraw it at any time by writing to dojofeilen@gmail.com.

Analytics

Google Analytics is only enabled if you accept it in the cookie notice. We do not send names, emails, documents or registration codes to Analytics.
